Custom Groups & Custom Fields

Custom Fields can be created and attached to different objects in the AgileField system.  All of these fields are viewable and editable on the Control Tower, while some of these Custom Fields are viewable and editable on the Mobile App:

Custom Groups


Overview


Each Custom Field can be assigned to a Custom Group.  This will control where a Custom Field shows up on the Control Tower and on the Mobile App (if applicable).  This optional step is important if there is a need to categorize your Custom Fields.

Create a Custom Group

  • Select the Admin panel along the top navigation bar of the Control Tower
  • Select Custom Group
  • Enter a Code 
  • Optional: Enter a Display Order: The Display Order will control the order of Custom Groups when there are multiple Custom Groups
  • Select Save



Custom Fields

Overview

Before creating Custom Fields, it is important to understand how to plan and use the various components when creating your Custom Fields.  Let's review each of the components of a Custom Field:


Table: The basis of this field is to define how the Custom Field will be used.  The following Table options are most commonly used:

  • User Type: Custom Fields will show on a User's record in the Control Tower
  • Customer Type: Custom Fields will show on a Customer's record in the Control Tower and also on the Mobile App (if applicable)
  • Work Package: Custom Fields will show on the Job Admin record in the Control Tower and also on the Forms tab on the Mobile App (if applicable)
  • Job Type: Custom Fields will show on the Job Admin record in the Control Tower and also on the Forms tab on the Mobile App (if applicable)
  • Equipment Type: Custom Fields will show on an Equipment record in the Control Tower and also on the Mobile App (if applicable)
  • Vehicle Model: Custom Fields will show on a User's record in the Control Tower


Limit To: This field is dependent upon the selection used in the Table field (above).  All will display the option of Unrestricted by default.  You should use Unrestricted when your Custom Fields need to be included to all available options displayed within the Limit To field.  Below are examples of how the Table and Limit To fields work together.  The items listed for Limit To are dependent on what is located in your company's AgileField Control Tower system.

  • Table: User Type, Limit To: Options for Limit To will include all of your company's User Type(s) within the system.  This might include: Super User, Dispatcher, Warehouse Manager, or Field Technician, etc...
  • Table: Customer Type, Limit To: Options for Limit To will include all of your company's Customer Type(s) within the system.  This might include: Commercial, Residential, Retail, etc...
    • Example: If "Commercial" is selected as the Limit To above, the Custom Field will only show on a Customer record if the Customer's Customer Type is "Commercial."
  • Table: Work Package, Limit To: Options for Limit To will include all of your company's Work Package(s) within the system.  This might include: Installs, Repairs, Maintenance, etc...
    • Example: If "Installs" is selected as the Limit To above, the Custom Field will only show on a Job if the Job's Work Package is "Installs."


Custom Group: These are the groups created earlier.  This field also includes a Global option which is used if you want the Custom Field to display all the time.

Label:  This is how the Custom Field will display on the Control Tower.

Question: This is how the Custom Field will display on the Mobile App.

Data Type: These are the format options for each Custom Field

  • Alphanumeric: Field used to populate both text and numbers
  • Numeric: Field used to populate numbers only
  • Date: Field used to populate month/day/year format
  • Boolean: Field used as a checkbox toggle; Checked = Yes, Unchecked = No

Display Rows: This is used in relation to the Alphanumeric Data Type to include more space for responses on the Control Tower.  As an example, if you need to document a great deal of information, you may want to provide 5 lines.

Display Order:  This field is used to display your Custom Fields in a particular order

Required: Select this checkbox if the Custom Field is mandatory.  When used with the Mobile App, Field Technicians will not be able to Complete a Job until the Custom Field has been answered.

Use Drop Downs:  Selecting this checkbox allows you to create options to display from a drop down menu.  You must first save the Custom Field, pull it back up, and then check the Use Drop Downs to create the drop down menu items in a different panel.

Show on Mobile:  Selecting this checkbox will display the Custom Field on the Mobile App (if applicable).

Show on Invoice:  Selecting this checkbox will allow this Custom Field to be visible on any Message Templates when the Custom Field is populated.

Create a Custom Field

Each Custom Field should be created individually in the Control Tower or loaded at once during the onboarding process.  Please contact your Customer Success Manager if you wish to data load multiple Custom Fields at once.


To create a Custom Field:

  • Select the Admin panel along the top navigation bar of the Control Tower
  • Select Custom Fields
  • Populate all information for your Custom Field:   *Required
    • *Table
    • Limit To
    • Custom Group
    • *Label
    • *Question (Mobile)
    • Default Value
    • *Data Type
    • Display Rows
    • Display Order
    • Required
    • Use Drop Downs
    • Show on Mobile
    • Show on Invoice
  • Select Save



Create Drop Down Options

For any Custom Fields that you want to have drop down options, follow the steps below:

  • Select the Admin panel along the top navigation bar of the Control Tower
  • Select Custom Fields
  • Select the Table of the Custom Field you want and Search:

  • Select the Custom Field in the list of search results:

  • You should now be viewing the Custom Field you want to add drop down options for.  The Use Drop Downs checkbox should already be selected.

  • On the right hand side of the Custom Field window, select Add button to create a blank row

Note: The input used in the Code field must be unique.  Once it is used it cannot be used again for any Custom Field.  The input in the Description field is what will be viewed from the drop down menu on the Control Tower and on the Mobile App.

  • Select the blank Code field to add a code
  • Select the blank Description field to add a description
  • Continue steps above until all drop down inputs are created
  • Select the Save button in this same window (not at the bottom of the screen) to save the entries




Edit a Custom Field

To edit or overwrite any Custom Fields, follow the steps below:

  • Select the Admin panel along the top navigation bar of the Control Tower
  • Select Custom Fields
  • Select the Table of the Custom Field you want and Search:
  • Select the Custom Field in the list of search results:

  • You should now be viewing the Custom Field you want to edit
  • Edit the Custom Field and select Save
